Statement from the May Ball President's Committee

The May Ball Presidents’ Committee have been closely monitoring the advice given by the central Government, City Council and College officials with regard to large-scale public events. With the recent move into ‘red phase’ by the University, the May Ball Presidents’ Committee regret to announce that May Balls and June Events scheduled for June 2020 must be cancelled or postponed. All ticket-holders will be emailed with further details.
As per our previous statement, all May Balls will release their respective refund policies within the coming days and weeks. While Ball Committees prepare to release these, please refrain from emailing your ticketing officers unless urgent. All Committees are working within different constraints and time-frames and are working as fast as they can.
We would like to thank you all for bearing with us through this uncertain time. These cancellations come as a blow to all Committees and College officials that have worked hard to make these events happen. We very much look forward to celebrating with you at events in the years to come.

General Release tickets are available to purchase for non-King’s members of the University of Cambridge from 12:00 on Thursday 5 March. Tickets are assigned by random ballot, due to high demand - you will have 24 hours to enter into the ticket ballot. If you are successful in gaining a ticket, the payment deadline is 23:59:59 on Tuesday 31 March.
If you are unsuccessful in the General Release ballot, unpaid tickets will be redistributed in the second ballot on Sunday 5 April. The Second Release will last for one hour at 12:00pm on the day, and cancelled tickets will be reallocated. Everyone willing to get a ticket in this Second Release will have to sign up in this one hour window, regardless of whether or not they participated in the first ballot. The payment deadline of the second release will be 23:59:59 on Tuesday 7 April.
If you wish to change the name on your ticket, you may do so by logging into your Tessera account and changing the name using the name change facility.
Name changes of King’s Standard Tickets may only be changed to the name of another King’s member. Name changes of King’s Bursary Recipient Tickets is not permitted.
Name changes are subject to the following charges:
• £10 from 5 March to 10 April
• £20 from 11 April to 31 May
• £30 from 1 June to 10 June
NO name changes under ANY circumstances after 10 June
King’s members have the option of purchasing up to two guest tickets. Guest Tickets can only be bought by King’s members. You cannot buy a Guest Ticket if you are not also buying either a King’s Standard Ticket or a King’s Bursary Recipient Ticket. General Release does not allow you to purchase a Guest Ticket.
Please note that the ID you bring to the event must match the name on your ticket. This means that Guest Tickets must be in the name of the guest and not the affiliated King’s member. Please note only valid passports and driving licenses (inc. provisional) will be accepted at the event.
All tickets to the King’s Affair are non-refundable. Entry to the event is subject to name on the ID you bring to the event matching the name on your ticket. If the names do not match, you will not be granted entry to the event. We only accept passports and driving licenses (inc. provisional) as ID. University “Cam” cards are NOT a valid form of ID.

We offer a free and confidential community-based outreach service and safe refuge for women in Cambridge city, South and East Cambridgeshire. We provide one-to-one support based on individual needs, as well as support groups and social programmes. We’re a local charity and part of a network of services for women and children subjected to domestic abuse of all kinds, including physical, psychological and economic abuse and coercive control. Our independent and free service provides expert advice, practical and emotional support to women who want to regain control of their lives.

How is KA taking into consideration COVID-19?
In light of the ongoing COVID-19 pandemic, the May Ball Presidents’ Committee would like to reassure students that May Balls are closely monitoring the situation and will follow the advice given by the central Government, Cambridge City Council, University of Cambridge, and College officials with regard to large social functions. As it stands, all Committees are proceeding with preparations for their events and are proud of the programmes they have so far put together. We will however react to the situation appropriately as it unfolds.
All May Balls will release a comprehensive refund policy within the coming weeks. While Ball Committees prepare to release their respective refund policies, please refrain from emailing your ticketing officers unless urgent.
Please note that the recent cancellation of Newnham June Event is not related to the outbreak and the Event will be releasing its own statements about guest refund rights.
When is the King's Affair?
The King’s Affair 2020 will take place on Wednesday 17 June. The event opens at 21:00 and finishes at 05:00.
I am a King’s member, how do I buy tickets?
King’s members tickets go on sale at 23:00 on Wednesday 26 February. Ticket sales for King’s members end at 23:59:59 on Wednesday 4 March for Standard tickets and 23:59:59 on Wednesday 11 March for Bursary tickets - you will have a week to secure your tickets.
I am a King’s member and receive funding from the Cambridge Bursary Scheme, how do I get my ticket?
The process for the King’s Bursary Recipient Ticket is slightly different to the King’s Standard Ticket to protect student data and ensure verification of status. Please follow the instructions in the e-mail sent to King’s students by the Chair. If you have any questions, get in contact with the Chair in college or at email@example.com.
I am a King’s member, what do I need to know about buying Guest Tickets?
King’s members can buy up to two guest tickets on the condition that either a King’s Standard Ticket or a King’s Bursary Recipient Ticket is also purchased. Guest Tickets must be bought outright alongside your own ticket. Guest Tickets must be in the name of the guest and not the affiliated King’s member - if the ID brought by your guest does not match the name on their ticket on the night of the event, your guest will not be granted entry. If the name of a Guest Ticket needs to be changed, this can be performed using our name-change system.
I am a non-King’s student at the University of Cambridge, how do I buy a ticket?

I am an alumnus / fellow, how do I buy tickets?
Alumni and fellow tickets have been sold via the King’s Development Office.
How much do tickets cost?
There are five different ticketing bands for the King’s Affair 2020:
• The King’s Bursary Recipient Ticket is £57.60 and available only to King’s members in receipt of the Cambridge Bursary.
• The King’s Standard Ticket is £72 and available to all King’s members.
• Guest Tickets are £89 and are available to purchase only by King’s members.
• General Release tickets are £89 and are available to purchase by all current members of the University of Cambridge.
• Alumni and fellows’ tickets are £109 and are available to purchase via the King’s Development Office.
The option of Q-Jump is available to purchase with any ticket for the additional price of £10.
I’m a member of the 2018 / 2019 King’s Affair Committee, how do I get my ticket?
Eligible ex-committee members will have already been contacted and details of how to claim your tickets will be distributed via e-mail. Please contact firstname.lastname@example.org if you have any further questions.
Can I change the name on my ticket?
Yes, you can change the name on your ticket via our name-change system. Please note that no name changes under any circumstances will be accepted after 10 June. Please see ‘Name Changes’ in the ticketing section of the website for more details.
How do I get my ticket?
Tickets will be sent out via e-mail in the week before the event.
What do I need to bring with me on the night?
You will need to bring your ticket and a valid form of ID - please note, we only accept valid passports and driving licenses, and failure to produce valid ID will result in refusal of entry to the event. The name on your ID must match the name on your ticket for entry to be granted. If you are unsure as to whether or not your form of ID is accepted, please contact email@example.com.
Please note, there is no cloakroom at the King’s Affair.
Can my ticket be refunded?
No. Unfortunately, all tickets are strictly non-refundable.
